Employee Leave Management

You ·

Employees cannot request leave beyond their available balance.

You ·

We need an employee leave management system. Employees should submit leave requests online. Their managers approve or reject them, and HR should be able to see all approved leave.

You ·

Employees submit leave requests and their managers approve them.

ReqMind ·

Thanks for confirming the flow. Earlier you mentioned employees submit requests and managers approve or reject them, and HR sees all approved leave. Just to clarify the rejection path: when a manager rejects a leave request, does the employee get notified, and can they edit and resubmit the same request, or must they create a brand new request?

You ·

The employee should be notified when the request is rejected. They can edit the rejected request and resubmit it instead of creating a new request.

ReqMind ·

Good, that resolves the rejection flow: notify employee + allow edit/resubmit of the same request. Now, on the balance check (BR-001) — should the system verify available balance at the moment the employee submits the request, at the moment the manager approves it, or both (e.g., re-check at approval in case balance changed due to another approved request in between)?

You ·

Check the available balance both when the employee submits the request and again when the manager approves it. If the balance is no longer sufficient at approval time, the request cannot be approved.

ReqMind ·

Got it — balance is checked at both submission and approval, and if it's no longer sufficient at approval time, the manager cannot approve it. Follow-up: in that case, what should happen to the request itself — is it automatically rejected/blocked with a message, or does it stay pending so the employee can edit/resubmit (similar to the rejection flow we just defined)?

You ·

Automatically reject the request and notify the employee that their available balance is insufficient. The employee can edit the rejected request and resubmit it later if their balance becomes sufficient.

ReqMind ·

Thanks — that closes the loop on insufficient-balance handling: auto-reject, notify employee, and allow edit/resubmit later. One related question: when this auto-rejection happens due to insufficient balance, should it follow exactly the same notification and audit trail as a manager rejection (e.g., logged as "rejected by system" vs. "rejected by manager"), or do you want it distinguished in the employee's request history/status so they can tell it wasn't a human decision?

You ·

For emergency leave, the manager can approve it even when the employee does not have enough balance.

ReqMind ·

That's an important exception to flag: you've said BR-001 (leave cannot exceed available balance) and BR-003/BR-004 (auto-reject when balance is insufficient at approval) apply generally, but now emergency leave seems to override that — a manager could approve it even with insufficient balance. To capture this correctly: is "emergency leave" a distinct leave type/category in the system, and if so, does it also bypass the submission-time balance check (BR-003), or only the approval-time block? Also, does approving an emergency leave request push the employee's balance negative, or is it tracked/deducted differently (e.g., unpaid, or against a separate emergency allowance)?

You ·

Emergency leave is a separate leave type and an exception to the normal balance rule. It can bypass both the submission-time and approval-time balance checks, but HR must approve it. It must not reduce the employee's normal annual-leave balance below zero; emergency leave is tracked separately.

ReqMind ·

Thanks — that clarifies a lot. One important new point: you said emergency leave "must be approved by HR" — but earlier the approval flow (REQ-002) was manager approval, and now for emergency leave it sounds like HR is the approver instead of (or in addition to) the manager. Can you confirm: for emergency leave, does the request go to HR only, or does the manager still need to approve it first and then HR gives a second/final approval?

You ·

For emergency leave, the manager approves first, then HR gives the final approval. Both approvals are required. If either the manager or HR rejects the request, the emergency leave request is rejected.

ReqMind ·

Good — that resolves the sequencing question: manager approves first, then HR gives final approval, and a rejection by either party rejects the whole emergency leave request. One follow-up: since HR now has its own approval limit/authority here, does HR have a cap on how much emergency leave allowance can be granted per request or per employee (e.g., a max number of days, or no numeric limit at all)?
